Case Study

Email triage & invoice automation

Scan Gmail for invoices and receipts, extract GST-ready expenses, and review them in one dashboard.

1
The challenge

Inbox noise and manual expense logging don't scale.

A growing business inbox mixes invoices, newsletters, client threads, and alerts — all competing for attention. Logging receipts and payment confirmations by hand is slow, error-prone, and easy to defer. The goal: automate triage and extraction while keeping humans in the loop for anything uncertain.

2
What we built

Three stages, one pipeline.

01

Gmail scan

Connect Gmail, scan the inbox for invoice-like attachments and payment receipts. Dedup and label each message so nothing is processed twice.

02

AI extraction

PDF, image, and body-only receipts parsed via OpenRouter (Gemini Flash) — vendor, date, amount, currency, and NZ GST fields.

03

GST review

Expenses land in a dashboard with GST period summaries. Approve valid rows or dismiss junk — dates reconciled for NZ day-first formatting.

Full inbox triage (priority labels, archive rules, alerts) is on the roadmap — shipping expense extraction first.

3
How it runs

Scheduled, connected, reviewable.

Use Scan now on the dashboard — it scans Gmail, classifies invoices with AI, and writes results to your expense table for review.
